The Challenge
The client’s sales pipeline was, in theory, well-defined — opportunities were supposed to move through clear stages from initial contact to close. In practice, standard Odoo CRM left this entirely up to manual judgment. Sales associates could drag opportunities between stages freely, skip stages, or move a deal forward without capturing the information needed to actually justify that progress.
This led to a pipeline that looked active on paper but was unreliable in practice — deals sitting in the wrong stage, missing details, and managers unable to trust the CRM as a true picture of what was really happening in sales.
The Solution
We redesigned the CRM pipeline around a simplified, five-stage structure — New, Qualification/Prospect, Proposal/Price Quote, Negotiation Review, Won/Lost/Invalid — and replaced free-form stage dragging with two guided actions: “Next Stage” and “Invalid.”
Critically, each stage transition now mandates that key fields are completed before the opportunity can advance. A sales associate physically cannot move a deal from “Qualification” to “Proposal” without the information that stage requires being filled in first. The system removes the possibility of human error in stage-tracking — not by adding rules people have to remember, but by making the workflow itself the guardrail.
