Bringing Order to Quotation Chaos with Automated Version Control

The Challenge
For a reselling business handling dozens of active deals at any time, quotations are rarely a one-and-done affair. Customers negotiate, ask for better pricing, request different configurations, or want revised payment terms — and each round means a new quotation goes out.
The problem was traceability. Once the sales team sent a revised quote, the original was effectively gone from the working record. There was no way to answer simple but important questions: What did we originally quote this customer? What exactly changed between round one and round three? Did we ever agree to that lower price, or is the customer misremembering?
This created friction internally (sales managers couldn’t audit pricing decisions) and externally (disputes over “what was promised” were hard to resolve with confidence).
The Solution
We implemented an automated quotation version-control system directly inside Odoo’s Sales module.
Every time a quotation is revised, the system doesn’t overwrite history — it creates a new, clearly labeled version and automatically archives the previous one:
- Original quote: RIPL/QT/2025-26/00124
- First revision: RIPL/QT/2025-26/00124/Rev_1
- Second revision: RIPL/QT/2025-26/00124/Rev_2
Each prior version is saved automatically in the record’s attachments — no manual saving, renaming, or filing required from the sales associate. The entire negotiation history sits inside a single record, in chronological order.
